Payroll & HR Assistant

  • Covering for a period of maternity leave, in this position you will lead the payroll function to deliver accurate and timely payrolls ensuring all statutory obligations are met efficiently and effectively and in accordance with the policies and procedures. You will need to maintain up to date knowledge of payroll and pensions legislation to ensure the business remains compliant and satisfies all regulatory and statutory obligations, including planning ahead and managing change. (E.g. auto enrolment, pension contributions changes). The purpose of the role is also to undertake a range of HR activities relating to the employee life cycle.

  • Main duties / Responsibilities

    Payroll Side

    • End-to-end responsibility for monthly payroll
    • Prepare the monthly payroll schedules, preparing payments by BACS and other means as required (sending payslips)
    • Maintain accurate payroll records, including holidays, sickness and other absences
    • Manage employee benefits specifically pension
    • Provide senior management reports as required.
    • Reconciliation of all pension and payroll accounts
    • Audit overtime and absence hours entered by managers.
    • Responsible for updating the HR salary database and all internal salary spreadsheets
    • Responsible for resolving all payroll related queries
    • Coordinate the sending out of salary review letters and bonus letters to all staff

    HR Side

    • Share responsibility for Induction presentations with new starters
    • Assist with the recording of absence and sickness
    • To provide administrative support including producing reports and contracts, monitoring and maintaining Single List records and supporting employee relations case work
    • To write and produce any reports or research documents as and when is requested in both a timely and professional format
    • Ensure that staff have a job description
    • Assist HR manager on recruitment activity
    • Answering general HR queries from employees
    • Assisting with training and development of employees
    • Ensuring that all recruitment administration is completed in a timely manner
    • Ensure smooth on-boarding
    • Prepare and submit the Global monthly reports
    • Scheduling exit interviews for staff and then provide relevant feedback to the HR Manager as appropriate
    • Work alongside HR Manager in ensuring that all personnel files are accurate and up-to-date
    • Responsible for booking pre-employment health screening, occupational health referrals for staff within allocated department
    • Participate in special projects and initiatives and provide general support to HR Manager as needed

    Requirements

    • At least two years standalone end to-end payroll experience. Experience of working with Sage 50 payroll
    • Sound working knowledge of PAYE and National Insurance statutory requirements, including manual calculations
    • Computer literate, preferably to intermediate stage¬†
    • Experience P11D returns
    • Knowledge of ROI payroll taxation
    • Knowledge of Company Pension Schemes, including Auto-Enrolment pension schemes/Salary sacrifice scheme
    • CIPD Level 5 (preferable) but would consider Level 3 too
